How Does it Work?
Working with your choice of identity card, EasyPrint can deliver a complete print and copy control solution.
When a print job is sent to print, it is queued on a print server until the user releases it by placing their ID card on the reader at any of the managed printers on the network. If the user has sufficient credit, the selected job will be printed. If the user does not have sufficient credit they can top up the card themselves using cheques, by cash using one of the account loaders in the school, or online via ParentPay.
The EasyTrace system uses the most advanced Toshiba multi function devices, which combine print and copy functions. Each device is linked to the network and has an integrated card reader and display, which gives the user their account details and credit balance. Multiple account holders are able to choose which account to debit; for instance, reprographics technicians or heads of year may be given the ability to debit other accounts and departments in order to ensure correct allocation of charges.
Charging options
Prices or credits for print and copy are completely flexible and can be set and amended by the administrator. The administrator can automatically or manually allocate 'free' print / copy credits, raise credit limits, or freeze accounts. Accounts can be run in debit or credit mode; i.e. paid in advance or settled at an appropriate time. Users may be given access to multiple accounts, for example, their own, departmental and administration accounts.
If you wish, you are able to directly charge pupils for printing beyond their credit allocation. Users can 'top up' their account using any of the EasyTrace payment methods - account loaders , parental cash/cheques , or payment via the Internet using ParentPay.
The Easy Account Loader is a wall-mounted unit that has a card or fingerprint reader and note and coin deposit slots. Using an account loader, the user can instantly credit their account with whatever amount they wish and also check their remaining balance.
Parents can add credit to their child's account by sending a cheque or cash to the school or depositing it into a specially designed, tamperproof postbox at the school. This is then manually credited to the student's account by a member of staff via an appropriately networked PC.
Parents can add credit to their child's account via the internet using a secure payment site, ParentPay, where parents can make payments securely, reliably and quickly by credit or debit card. ParentPay is available twenty-four hours a day, seven days a week, and processes card transactions in just a few seconds. Parents can also view the account balance via the ParentPay website. By encouraging parents to use Parent Pay, you can reduce administration time spent managing cash and minimise banking costs.
Card-Based System
Using a card-based system, the card is used as the unique identifier (ie, the mechanism for identifying the user and accessing their records from the backend database - Infinity).
Card design is bespoke to meet your specific needs. You may select any colours, logos and images to use. Often the image of the cardholder and school logo form part of the design. Enrolment number is also often included to simplify administration and identification. Integration with local transport companies and other community facilities (public libraries, leisure centres etc) may also be an option.
Balances are held on the database not on the card ensuring that students/staff credit is safe even if the card is lost.
